3) Nature of Services & Medical Disclaimer (Non-Clinical)

  • Mind to Womb provides mental well-being coaching, counselling and psychoeducation. We do not provide medical, psychiatric, midwifery, diagnostic, or emergency services. Our Services are not a substitute for medical advice, diagnosis or treatment.

  • We may discuss strategies and information intended for general wellbeing. You agree that any decisions you take are your responsibility, and you will seek advice from your GP, midwife, obstetrician, psychiatrist, psychologist, or other qualified healthcare provider as needed.

  • If you are in crisis or at risk of harm, do not use our Services. Contact emergency services (e.g., 999 in the UK) or your local equivalent immediately, or attend your nearest emergency department.

4) Professional Standards

Our practitioners are regulated and/or accredited by one or more of: NMC, SWE, HCPC, BACP, and work within applicable professional codes of ethics. Supervision and record-keeping are maintained to professional standards.

5) Eligibility; Client Responsibilities

  • Services are provided to adults (18+) only.

  • You agree to provide complete and accurate information relevant to your wellbeing and to update us on any material changes (e.g., medication changes, pregnancy changes, safeguarding risks).

  • You agree to have a safe, private space for sessions and a reliable internet connection and device.

6) Bookings, Fees, Packages and Payment

  • Advance payment is required for 1:1 Sessions, Group Sessions and Digital Content unless otherwise stated.

  • Fees are stated at checkout on the Platform and may change from time to time. Prices include VAT where applicable.

  • Subscriptions or packages (if offered) will set out inclusions, duration, renewal and cancellation terms at the point of purchase.

  • We may use third‑party payment processors. You authorize charges to your selected payment method for the agreed fees.

7) Consumer Cooling‑Off (Distance Contracts)

  • If you are a UK consumer, you generally have a 14‑day cooling‑off period from purchase. However:

    • If you book a session to take place within 14 days, you expressly request early performance and acknowledge you will lose your right to cancel in respect of any session once it has been delivered (and may owe a proportionate amount for services already provided if you cancel before delivery is complete).

    • For Digital Content supplied for immediate download/streaming, you will be asked to give explicit consent to start the supply within 14 days and acknowledge you lose the right to cancel once access begins. If you do not consent, access will start after the 14‑day period.

  • Nothing in this clause affects your statutory rights where services are not performed with reasonable care and skill.

8) Cancellations, Rescheduling, Lateness & Missed Appointments

  • Client cancellations/rescheduling: please provide at least 24 hours’ notice. Sessions cancelled or rescheduled with less than 24 hours’ notice may be charged in full. Packages may specify different terms at purchase.

  • Provider cancellations: if we must cancel, we will offer a reschedule or refund for the affected session/portion.

  • Lateness: late arrival may reduce your session time to avoid impacting subsequent clients; full fees apply.

  • No‑shows: missed sessions without prior notice are charged in full.

9) Group Sessions (Additional Terms)

  • Group Sessions are for education, support and peer connection; confidentiality cannot be guaranteed due to multiple participants. You agree not to disclose other participants’ identities or content outside the group.

  • You must behave respectfully and safely. We may remove anyone who breaches group rules (e.g., harassment, hate speech, promotion of unsafe practices) without refund.

  • Unless we expressly state otherwise, Group Sessions are not individual therapy and do not establish a therapist‑client relationship beyond the group context.

10) Time Zones & International Clients

  • Mind to Womb is UK‑based and offers Services internationally. Session times are offered and confirmed in your local time zone where possible.

  • If you change location or time zone after booking, you must update your details in the Platform and check your confirmations/reminders. Missed sessions caused by timezone errors may be charged in full.

  • Local laws: You are responsible for ensuring our Services are lawful for you to use in your location. Mandatory consumer protections of your country of residence may still apply to you. We act in accordance with applicable UK law and, where feasible, relevant safeguarding laws in the client’s country (see Section 15).

11) Technology, Security & Acceptable Use

  • We take reasonable steps to keep the Platform secure, but we do not guarantee it is free from errors, viruses or other harmful components.

  • You are responsible for using up‑to‑date anti‑virus protection and a secure internet connection.

  • You must not misuse the Platform (e.g., introduce malware, attempt unauthorized access, harass, bully, or defame others, or use the Services for unlawful purposes).

12) Recording & Confidentiality in Sessions

  • Client recording is prohibited unless we give prior written consent. We may, with notice and explicit consent, record certain sessions for safeguarding, supervision, or training; you will have the option to decline except where law or regulator requires otherwise.

  • You agree not to share screenshots, transcripts, or extracts from sessions or materials without our written consent.

13) Confidentiality, Safeguarding & Duty of Care

  • Safeguarding: If we become aware of abuse, neglect or risk of harm (including domestic abuse, child protection concerns, suicidal intent, or threats of violence), we may need to contact relevant authorities or professionals (e.g., Children’s/Adult Social Services, Police, NHS/your GP) and, where appropriate, inform you of actions taken.

  • We will explain the limits of confidentiality at intake and endeavour to discuss any necessary disclosure with you unless doing so would increase risk or is not feasible in the circumstances.

14) Emergencies & Crisis

  • We are not an emergency service and do not provide 24/7 support. If you are at immediate risk, contact 999 (UK) or your local emergency number, or attend the nearest emergency department. For non‑urgent medical concerns, contact your GP or local equivalent.

15) Data Protection (Summary)

  • Except as required by law or expressly stated, fees are non‑refundable. Where a statutory refund applies (e.g., a service not provided with reasonable care and skill), we will comply with applicable law.

  • If a cardholder initiates a chargeback without first attempting to resolve the matter with us, we reserve the right to dispute the chargeback and to recover associated costs and fees.

19) Disclaimer of Warranties

  • The Platform, Services and Digital Content are provided on an “as is” and “as available” basis. We do not warrant that they will be uninterrupted, timely, secure or error‑free, or that any particular outcome will be achieved.

20) Limitation of Liability

  • Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability which cannot be excluded under law.

  • Subject to the above, to the maximum extent permitted by law:

    • We are not liable for any indirect, incidental, special or consequential loss, or for loss of profits, revenue, data, goodwill, or anticipated savings.

    • Our total aggregate liability to you for any loss or damage arising out of or in connection with the Services and these Terms shall not exceed the total fees paid by you to us in the 12 months preceding the event giving rise to the claim (or £200 if no fees were paid).

  • You are responsible for your own decisions and actions arising from your participation in the Services.

21) Indemnity

You agree to indemnify and hold harmless Mind to Womb, its officers, employees and practitioners from and against any claims, liabilities, losses, costs and expenses (including reasonable legal fees) arising out of your breach of these Terms, misuse of the Services, or violation of law or third‑party rights.
